How to write a formal letter of complaint

Greeting: "Dear ………….."

► Paragraph 1: Reason for Writing

Give your reason for writing:

Example: "I am writing to complain about…"

► Paragraphs 2–3: Describe What Went Wrong

Use phrases like "Unfortunately," "Sadly," "This was most inconvenient."

Example: This was the most inconvenient/a big problem.

► Paragraph 4: Suggestions for Improvement

Give suggestions on ways the company can improve its service:

• "This is unacceptable. I feel that you should improve/change/make sure/check..."

► Paragraph 5: Request for Compensation

Say what compensation you want :

Example: "I believe you should give me a refund/an apology."

► Closing: Ending 

Example: "I look forward to your reply. Yours faithfully, [Your Name]"

"a" and "an"

• "A" and "an" are indefinite articles. We use them when we mention a person or thing for the first time. This indicates that the listener or reader doesn't know exactly which person or thing we are referring to.

Example:

• "We had an exam in the afternoon."

  • Here, we’re introducing the exam for the first time, so we use "an" (since "exam" starts with a vowel sound).

Specific Reference with "the"

• We also use "the" when we want to refer to a specific person or thing, even if it hasn’t been mentioned before. This implies that there is only one such person or thing that fits the description.

Example:

• The shop assistant refused to give me my money back.

  • Here, "the shop assistant" refers to a specific person—the one who helped you in the shop.
