1. Formal Expressions

  • Use formal alternatives for everyday expressions, such as:

    • "It didn’t arrive on time" can be replaced with "More than 30 minutes late..."

    • "Not an apology from anyone" can be expressed as "By the skin of our teeth..."

2. Balance in the Letter

  • Use concession phrases like (Although, might be acceptable) to create a more balanced and diplomatic tone in the letter.

    • Example: Although a short delay might be acceptable, ...

3. Use of Passive Voice

  • Using passive voice makes the letter more formal and less accusatory:

    • We were only informed of the timetable change...

4. Polite but Assertive Tone

  • The letter should be polite but assertive in demanding action or improvement:

    • I would like to emphasise that treatment such as this cannot be tolerated.

5. Using Emphasis to Strengthen the Position

  • Strengthen your position with words of emphasis:

    • Never have I experienced such discomfort.
